Clock in and out in the app

Short answer

You clock in and out directly on the home screen in the Timeplan app. The buttons change based on your current status — if you're clocked out you see Start shift (green), if you're clocked in you see End shift (red). Hold the button for 2 seconds to register the clocking. The feature is included in all Timeplan tiers but requires that an administrator has set it up correctly.

Before you start

Three things must be in place for the clocking function to appear in the app:

  • Active employment contract — you must have an employment contract that applies today
  • "Mobile app" time clock terminal must be activated for you by the administrator (under Staff → Supplementary information)
  • Correct agreement rule — your agreement must allow clocking

If any of these are missing the function is hidden. Contact your administrator if the buttons are missing.

Clock in

When you start your shift:

  1. Open the Timeplan app
  2. On the home screen you see Start shift (green button)
  3. Hold the button for 2 seconds — an animation shows that the registration is in progress
  4. If you release too early the clocking is cancelled
  5. Done — you're clocked in

If you recently ended a shift, a notice is shown — for example "Ended shift at 17:02".

Note: You also see the End shift button (dimmed). It's there in case you forgot to clock in earlier and now want to clock out instead. Normally you should choose Start shift.

Clock out

When you end your shift:

  1. On the home screen you see End shift (red button)
  2. Hold the button for 2 seconds
  3. Done — you're clocked out

If you already clocked in earlier, a notice is shown — for example "Started shift at 07:58".

If you're allowed to work on multiple departments the Switch button is also shown — see the next section.

Switch between departments

If you need to change department during the shift (for example from Kitchen to Service):

  1. Tap the Switch button
  2. A list of departments you have access to is shown
  3. Choose the department you're going to
  4. The clocking is registered: you clock out from one and in on the other

If you work for multiple companies, the departments are grouped by company in the list.

To cancel — tap the close button in the dialog, and you return to the home screen without the clocking being registered.

Deviation code when clocking

If you clock in one of these two situations, deviation codes are shown for you to choose from:

  • You clock in without having a shift scheduled
  • You clock in or out outside your flex interval (i.e. too early or too late compared to the shift time)

Choose the deviation code that describes the situation — for example Early in or Late out. The code affects how the time is calculated on payroll.

To cancel the clocking — tap the close button in the dialog.

If something doesn't work

  • Buttons are not visible: one of the three requirements isn't met. Contact your administrator to check that the Mobile app terminal is active, that you have an active employment contract today, and that your agreement allows clocking.
  • "You must connect to the workplace WiFi" message: the administrator has set an IP address restriction on the Mobile app terminal. Connect to the workplace network and try again.
  • The clocking isn't registered: hold the button for the full 2 seconds. If you release too early the clocking is cancelled.
  • Wrong type of clocking: if you try to clock in when you're already clocked in (or the other way around) a warning is shown. Choose No to cancel.

Common questions

What's the difference compared to Timeclock Web?
The functionality is the same, but in the app you don't need to identify yourself at every clocking — you're already logged in. The app is built to be faster for daily use.

Why do I hold the button for 2 seconds?
To prevent accidental clocking. It's easy to accidentally tap a button on a mobile — the 2-second threshold ensures you actually intend to clock.

What do the deviation codes do?
They tell Timeplan why the clocking looks the way it does — for example that you started earlier or ended later than scheduled. The codes control how the time is calculated on payroll and whether someone needs to approve the clocking in the action list.

Can I undo a clocking?
No, not directly in the app. Contact your supervisor if a clocking has gone wrong — they can adjust it in Timeplan.

What if I'm on the wrong department?
Use the Switch button to move to the correct department. It creates two clockings: clock out from the first and clock in on the second.
